Terms & Conditions

Definitions: 

“Agreement” means a written agreement concluded between Deluxe Safari and a travel partner, to which these Terms and Conditions are attached and form an integral part. 

“Counterparty” shall mean either (i) a direct guest who has made a booking with Deluxe Safari and who has received a copy of these Terms and Conditions attached to their invoice; or (ii) the counterparty to an Agreement and including any travel partners and/or guests of such counterparty. 

“Deluxe Safari” means D.E. Luxury Safari Concierge Limited which is a trading name of D.E. Holdings (Midlands) Limited. 

“Terms and Conditions” means this document containing the Deluxe Safari general terms and conditions, including the rates, applicable to the Counterparty from time to time. 

Your attention is specifically drawn to the obligations as contemplated in these General Terms and Conditions as well as to our cancellation policy contained herein. The Counterparty, must familiarise itself with the policy. In circumstances where the Counterparty is a travel partner, it is obliged to inform guests thereof. 

These Terms and Conditions are also available on our website for inspection. 

Rates quoted are subject to change and Deluxe Safari reserves the right to adjust these throughout the contracting period for new bookings. 

General Inclusions & Exclusions 

Includes:

Domestic flights
Transfers between the airport, hotels and safari lodges/camps 
Accommodation on an All-inclusive basis
All beverages (except premium spirits and Champagne)
All safari activities with a professional tour guide (including shared game drives with a 4x4 safari vehicle) 
All park entry fees and concession charges 
WIFI access

Excludes:

International flights and transfers 
Flying doctor medical insurance (can be applied upon requested)
Purchases from any boutique & gallery stores
Spa/massage treatments
Any activities, community experiences and/or day trips offered by 3rd party suppliers and all associated transfers
Any private safari vehicles unless requested prior to travel 
Any additional permits that may be required 
All levies and fees (all of which are subject to change without prior notice)

How to Book 

Bookings can be made through the appropriate email address or telephone number listed on Contact Us page. 

Reservation Deposit

In the case of a reservation by our website, you must;
Pay a reservation deposit of 30% of your total reservation value, in order for us to confirm the booking. 
The other 70% of the total reservation value must be paid 30 days before the departure. 
If the reservation is within 60 days before the departure, 100% of the total reservation value must be paid at the moment of confirmation. 
The total reservation value must be paid in US Dollars and payment can be made via bank transfer, online payment link, cash and other preferred methods. Please see our Payment Policy for further info. 
 If you do wish to proceed with a confirmed booking, you must pay 100% of your total reservation value, in order for us to confirm the booking. 

Single Supplement

A single supplement of 25% of the adult rate will apply from the third single room onwards when booking 3 suites or more for the same period at a camp or lodge. 

Group Bookings

A party that occurs more than 60% of the best at any given lodge/camp/resort on any given night is considered to be a Group. 
For Group bookings, rates, payment and cancellation terms need to be negotiated on an ad hoc basis with your Deluxe Safari Sales Manager and Reservations Consultant. 

Special Requests

Deluxe Safari should be advised of any special requests – such as dietary preferences, physical disability, birthday celebrations, honeymoons and anniversaries – at least 14 days prior to arrival. 

Travel Documents

It is the client’s responsibility to ensure that all travel documents, such as passports, visas, and vaccinations are valid for the period required. (Some airports will not accept passports if they do not have at least 6 months of valid travel). 
The company shall not be responsible to any delay or cancellation resulting from the client’s failure to provide the required travel documentations to immigration or other authorities at any time

Festive and Peak Season Special Terms 

Peak 
A minimum of two to three nights is required for all guests travelling during peak season at some specific camps/lodges.

Festive 
Festive Season is defined as 15th December – 5th January annually. 
A minimum of two to three nights is required at most lodges/camps during this period. 
Arrivals and departures on Christmas Day or New Year’s Day at any lodge or camps are on request basis only.

Health Precautions 

Malaria
All properties in Tanzania are situated in malaria-risk areas. It is therefore essential that guests consult their medical practitioners regarding anti-malaria requirements prior to travel. 

Yellow Fever
Yellow Fever certification is required when travelling from, or passing through, yellow fever endemic countries. Kenya and Rwanda are considered to be endemic countries. 
Please note: Requirements change from time to time. Although we endeavour to stay updated, Deluxe Safari cannot be held liable for any incorrect or outdated information and we strongly advise guests to always consult their GP and/or travel clinic regarding the latest requirements prior to departure. 

Children

Children are classified 2 – 16 years of age
Infants are classified as under the age of 2 years
Some camps and lodges do not accept infants; however, some do but the responsibility is liable with their parental guardians. 
Families wishing to share are encouraged to book Family Suites, Cottages, Villas or Private-use lodges. 
Triples are available on request, and require an additional room being booked. 
Families travelling with children under the age of 10 years may be required to book a private vehicle (Subject to availability), which will require additional charges. 

Private Vehicles

In each region, we have a limited number of private vehicles that can be booked by guests in advance at an additional cost. (Subject to availability). 
A private vehicle must be booked for the entire stay. 
A private vehicle is never guaranteed, unless there are 6 full-paying guests, or if a vehicle has been booked and paid for.  
Refer to “Children” above for more information about vehicles for families with children under the age of 10 years. 
For all private Field Guides (regardless of accommodation type booked) wishing to accompany their guests on safari activities, a private vehicle must be pre-booked (subject to availability) and will be charged at the applicable daily rate. 

Gorilla Trekking

The minimum age requirement is 15 years.
Permits are subject to availability at the time of booking. 
If Deluxe Safari books the permit on behalf of the guest, proof of payment for the permit needs to be received within 24 hours, and the guest’s passport details no later than 60 days prior to travel. 
Guests are required to book and pay for a Driver Guide and vehicle for every day of their stay at the Volcanoes National Park to facilitate all activities, as well as transfers to Kigali and the Musanze helipad (when applicable or required). Having a Driver Guide and vehicle ensures flexibility, so that guests can plan their days according to preference. 
It’s not recommended to participate in any Volcanoes National Park activities on the day of departure as there aren’t any day-use facilities for guests to freshen up after they’ve checked out. Should guests still wish to participate in a Park activity on their departure day, they need to book their suite for an additional night – or check out of their suite before leaving for the trek/hike. 
Permits are non-refundable.
